Reports to:
Medical Director/Owner As an integral member of our Medispa Maui Management Team, the Practice/Office Manager is responsible for ensuring that the office's administrative and clinical aspects run smoothly, managing staff efficiently, and handling patient concerns.
A strong Practice/Office Manager is expected to alleviate the administrative burden on the medical director and owner.
Job Responsibilities of the Practice/Office Manager organize and coordinate administration duties and office procedures.
create and maintain a team inspired positive energy work environment ensuring high levels of organizational effectiveness, communication and safety overseeing all staff, supervisors, and providers providing and coordinating staff and provider training, design and build training programs for all job descriptions.
providing general administrative support to all employees.
manager duties including maintenance of spa, scheduling, and leading monthly and quarterly meetings.
oversight of staff maintaining supplies and inventory of injectables, laser supplies and retail products with area leads.
oversee monthly full count of inventory for backbar and retail first in line to handle patient complaints or issues handle both HR and Staffing duties and request, including but not limited to staff onboarding and off boarding, PTO request- For Medispa Maui Staff including those leased to practices perform probationary, monthly and annual evaluations on employees website, social media, marketing and events ensure the smooth-running of the spa and help to improve company procedures and day-to-day operation and be able to plan for the month(s) ahead.
provide owner with monthly and quarterly reports set weekly, monthly, quarterly and yearly goals with the owner and staff.
work with owner and those designated by the owner to implement changes in practice as needed assures that practice is complaint in all OSHA and HIPAA rules and regulations, schedule new hire and annual training assures staff and providers adhere to proper cleaning and hygiene of facility coordinate, provide staffing and develop processes to allow for cohesiveness with the all future specialties or practices implemented into The Stolley Center.
act as the point of contact among executives, employees, clients, and other external partners manage information flow in a timely and accurate manner rack daily expenses and prepare weekly, monthly, or quarterly reports.
follow budget and financial protocols-provided by bookkeeping and accounting.
overseeing the day-to-day and working with the Clinical and Admin Supervisors to manage staff performance, create reports for monthly staff reviews by the Medical Director.
format information for internal and external communication - memos, emails, presentations, reports take minutes during meetings.
screen and direct phone calls and distribute correspondence organize and maintain the office filing system coordinate all office maintenance and repairs daily deposit and daily reconciliation of payments maintain Physician licensing and Certifications create and maintain all office policies and procedure coordinate and oversee with vendors and outside service providers oversee Staff and Provider Payroll and Productions annual Security Risk assessment bi-annual time studies oversee and maintain malpractice for all providers Set monthly specials in conjunction with the owner and work with website and marketing vendors to market and promote Ultimately, it is the responsibility for the practice/ office manager to make sure all roles are filled.
In the event that a non-provider role can not be filled, it is expected upon the Practice/Office Manager to temporarily fill that role until the role can be filled by a designated person.
This pertains to all employees including those leased.
Requirements of the Office Manager Bachelor's degree or 10 years of medical or cosmetic office manager experience 40
hours weekly, with consistent hours and flexibility excellent time management skills and ability to multitask and prioritize work attention to detail and problem-solving skills excellent written and verbal communication skills strong organizational and planning skills in a fast-paced environment a creative mind with an ability to suggest improvements Job Type:
