2K a year SITE MANAGER'S DUTIES AND RESPONSIBILITIES OBJECTIVE:
The purpose of this list of duties is to provide a guide in maintaining the property in a high state of appearance, cleanliness and orderliness so that it will be regarded by both residents and the general public as a desirable place to live.
The Site Manager of Koa Resort is a part-time paid representative of the Board of Directors and the Association of Apartment Owners of Koa Resort.
The Site Manager will take direction and supervision directly from the Managing Agent, including but not limited to the list of duties that follows.
He/she is charged with on-site supervision of the complex and will have such duties and responsibilities as the Managing Agent and the Board of Directors may from time to time delegate.
In carrying out these duties and responsibilities, the Site Manager must be ever cognizant of the potential consequences of his/her actions from a liability standpoint to minimize the possibility of legal action or insurance claims for alleged improper acts.
The Site Manager shall:

PROPERTY; 1.
OVERALL SURVEILLANCE AND SECURITY a.
Exercise overall surveillance and maintain security of the premises to facilitate protection of the property and maintenance of order to the maximum extent possible.
b.
Initiate requests for emergency assistance as needed.
c.
Control access to equipment and utility areas and any other restricted area.
d.
Secure and control the use of all keys kept for emergency use and those used for access to common element areas, including utility and storage areas.
e.
Control access of unauthorized persons or vehicles to the premises.
2.
INSPECTIONS a.
Inspect and patrol property daily.
Take corrective action as required to maintain established maintenance standards.
b.
Accompany the Managing Agent during any inspections of the premises, providing access to restricted areas as requested.
3.
HOUSE RULES a.
Enforce the House Rules, and any other rules that may be established by the Board of Directors in accordance with the Policies & Procedures Manual adopted by the Board of Directors.
b.
Make on-the-spot corrections, advise violators of non-compliance and take the appropriate actions.
Keep a written log of all violations, notifications given and actions taken.
4.
LOG Maintain a daily log, listing activities and significant events.
Items such as complaints, accidents, and special maintenance jobs, items that recur at regular intervals, follow-up procedures, and so forth should be noted.
5.
DUTY HOURS Maintain duty hours as determined by the Board of Directors and posted at the Site Manager's office.
6.
SERVICE TO RESIDENTS a.
Prepare & maintain a current record of all residents (owners & tenants) and residents (owners & tenants) vehicles.
b.
Assist residents and service agencies to support the maintenance of the complex as a whole.
(NOTE:
Maintenance within an apartment is not the responsibility of the Site Manager except in an emergency to protect other property in the building, and the cost thereof is chargeable to the owner of the apartment where the problem originated.
The Site Manager shall not perform any non-emergency maintenance or repair of individual apartments.

Control and monitor access to walkways when furniture and other items are being moved to prevent damage to common elements and minimize inconvenience to residents.
e.
Receive residents' comments, recommendations and/or complaints with a courteous reply.
Follow-up on residents' comments and initiate corrective action as needed in a timely manner.
f.
Post notices, announcements and bulletins authorized by the Board of Directors.
7.
COST CONTROLS Be responsible for efficient management of resources and investigation of alternatives to determine the most efficient and least expensive means to accomplish any goal.
Obtain three (3) bids for any continuing contract work or projects outside of the approved budget and submit to the Managing Agent for Board of Director approval.
8.
SERVICE CONTRACTS a.
Monitor the presence and activities of service providers while they are on the premises.
b.
Assist the Managing Agent in administering the terms of service contracts to ensure compliance with terms of such contracts, including prompt notification of service contractors of any substandard service and/or malfunctions, and follow up to ensure full satisfaction.
c.
Maintain updated maintenance records on each common element or piece of equipment for which maintenance work is performed.
d.
Maintain a current list of vendors, repair and service companies engaged in the maintenance of the premises.
9.
PURCHASES a.
Report any necessary procurement of goods and services for common elements to the Managing Agent.
The Site Manager shall not purchase any non-budgeted materials or furnishings for the common areas without prior approval of the Board of Directors.
b.
Receive goods, approve services and submit invoices to the Managing Agent for review, approval and payment, including monthly reconciliation of petty cash fund.
The petty cash limit is $ 300.

10.
REPORTS a.
Report promptly to the Managing Agent any incident that might involve an insurance claim or pose any liability to the Association or the Board of Directors.
b.
Contact the Managing Agent for guidance when unsure of who is responsible for any repair work that may be required.
c.
Submit written reports to the Board of Directors for all Board Meetings, including but not limited to recommendations for maintenance and improvements to the complex.
11.
RECORDS a.
Maintain a current list of owners and tenants of each apartment.
In the event of absentee owners, record a local contact (e.
g.
rental agent) responsible for the apartment in case of emergency.
b.
Maintain an individual unit file folder by apartment number containing resident registration forms, copies of House Rules violation notices, and any other pertinent documentation.
12.
INVENTORY OF ASSOCIATION PROPERTY Maintain a current list of all Association property, equipment and supplies, to include serial numbers and warranty information.
Updated periodically; no less than annually.
B.
MAINTENANCE AND CUSTODIAL DUTIES:
The Site Manager is responsible for the satisfactory completion of all maintenance and custodial duties, either directly or as the supervisor of any employees and contractors hired for such purpose.
He/she shall exercise overall control of the physical upkeep of the common elements, appurtenances and equipment on a continuing, cost-effective, programmed basis in accordance with established standards of safety, sanitation cleanliness and appearance.

Any actions taken, whether listed or not listed, should be based on actual needs in achieving the stated objectives, i.

DAILY 1.
Patrol property and pick up litter in common areas.
2.
Clean pool and restrooms as required by established schedule.
3.
Replace all burned-out or defective lights.
4.
Check common areas for cleanliness.
5.
Meet with Landscape Vendor Supervisor as established by schedule to review work and ensure any emergencies are taken care of.
6.
Empty common area trash receptacles.
7.
Check Association equipment for proper operation; report any irregularities to Managing Agent.
8.
Respond to e-mails, phone messages and keep a daily log.
9.
Enforcement of House Rules and Regulations and act as a liaison with Police and all emergency people.
10.
Monitor all Association contractors while on premise.
WEEKLY 1.
Perform weekly night light checks.
MONTHLY 1.
Check all shutoff valves.
2.
Check storage areas for cleanliness and tidiness; clean as required.
3.
Check fire boxes at all locations and have yearly inspections done on fire extinguishers.
4.
Make sure landscapers do monthly irrigation checks.

RECORDS AND REPORTS:
Note:
Standard forms will be used for records and reports unless an alternate format is approved by the Managing Agent.
Personal Data Card:
Maintain a record of information on each apartment to include:
- owner/tenant information - receipt of house rules - rental agreement - automobile data - pet information registration - miscellaneous information Payroll:
Time sheets will be submitted on each employee to the Managing Agent.
The Site Manager will monitor the working hours and complete time sheets on employees coming under his/her supervision and will forward these time sheets properly executed and signed to the Managing Agent in accordance with the published schedule.
Petty Cash:
Used to report petty cash expenditure.
Submit monthly or as needed together with original invoices for each expenditure.
Incident Report:
Used to report any unusual or significant events.
Report in detail; including any fragmentary information.
If in doubt as to whether or not it is significant, report it.
Insurance Claim Report:
To be submitted to the Managing Agent immediately following any incident that might initiate an insurance claim.
Notification of House Rule Violation:
Used to notify residents of House Rules infractions.
Original goes to the offending party, copies to Site Manager and Managing Agent.
